Welcome to the Science Agora Technology Transfer Network Website!

Through the Website, we may collect some of your personal data. Some of this data is collected automatically via Cookies, depending on your choices, while others are collected if you decide to share your personal data with us using the contact form. The collection and processing of your personal data are always carried out with respect for your privacy and the need to protect your personal information, and in accordance with our legal obligations, as defined by the General Data Protection Regulation (Regulation 2016/679 - GDPR) and the current legislation.

In this Privacy Notice for the Collection & Processing of Personal Data (hereinafter, the "Notice"), you will find a detailed presentation of the purposes for which we collect and process personal data, the methods of processing, as well as the duration for which we retain your data and how we protect it. You will also be informed about who has access to your data, what rights you have regarding your data, and how you can exercise them.

We encourage you to read this Notice thoroughly as it reflects the Privacy and Data Protection Policy we follow for the personal data collected and processed through our website. Who we are

1.1 This Notice concerns the personal data collected and processed by the Science Agora Technology Transfer Network. Science Agora is a permanent cooperation hub of four research and academic institutions based in Attica (NCSR Demokritos, ACE Technology Transfer and Innovation Unit – Athens University of Economics and Business, National Technical University of Athens, "Athena" Research Center) aiming to mutually strengthen the technology transfer and business acceleration activities implemented within the individual bodies.

1.2 The Website scienceagora.eu belongs to the Institutions mentioned above and is managed on behalf of Science Agora by the ACE Technology Transfer and Innovation Unit of AUEB (Athens University of Economics and Business), located at 2 Troias Kimolou & Spetson, 11362, Athens.

1.3 This Notice refers exclusively to the personal data collected and processed during the use of the Website, as described below (see Article 2). It is not related to the personal data collected and processed in the context of the individual actions and activities organized by Science Agora. Information regarding the data collected and processed in the context of those actions can be found in the respective Notices.

2. Data Collection: What, How, and for What Purpose

2.1. Data via the Contact Form

Through the Website, you may choose to share your personal data with us using the Contact Form. More specifically, if you decide to use the contact form to get in touch with Science Agora, we will collect your full name and email address (hereinafter, "Contact Details") to contact you and respond to your message.

If you choose to include and share any other personal data relevant to the reason/purpose for your contact in your message, we will collect and process it according to the purpose for which you shared it with us, in relation to responding to your message.

The legal basis for the collection and processing of your data is your consent, which we ask you to confirm before sending us your message, along with your personal data.

2.2. Data via the Newsletter

Through the Website, you may choose to share your personal data with us by subscribing to our Newsletter to receive news and information about Science Agora's actions. More specifically, if you decide to subscribe to our Newsletter recipient list, you will need to share your email address with us.

The legal basis for the collection and processing of your data is your consent, which we ask you to confirm before subscribing.

We will not process or otherwise use your data for any purpose other than those clearly and specifically stated in this Notice. Additionally, we may process the aforementioned personal data for purposes of evidence and/or exercising our legal rights, where these are not restricted by your right to the protection of your personal data. 

3. Who Has Access to Your Personal Data and Why

We follow a specific plan of limited and controlled access, aiming to reduce the dissemination of personal data by restricting access to your personal data only to the people who need it for the purpose you provided it to us.

3.1. Data via the Contact Form

Your personal data will only be accessible to the member of the Administrator's team responsible for communication through the website. In the event that we require information from another member of our team to respond to your request/message, only the content of your message will be shared with the designated person, without your Contact Details. If, for the purposes for which you contacted us, we need to transmit your message to another member of the Science Agora Network, your message and personal data will be transmitted securely.

3.2. Data via the Newsletter

Your personal data will only be accessible to the member of the Administrator's team responsible for sending the newsletter.

We do not share your personal data or otherwise disclose it to third parties, unless we are specifically obliged to do so by law, a court order, or a decision issued by a competent public authority, for law enforcement purposes or in the context of exercising our legal rights.

4. How Long We Retain Your Data

We implement a purpose-specific policy to determine the duration for which we process and store your data. Data collected via the Contact Form is permanently deleted securely within five (5) working days from the completion of our communication.

We do not retain your personal data for longer than necessary, unless we are permitted to retain it to defend or exercise our legal rights and legitimate interests, in a context where these are not restricted by your right to privacy and the protection of your personal data. 

5. Where Your Data is Stored and How it is Protected

Considering the nature, scope, context, and purposes of the processing, as well as the risks to the rights and freedoms of natural persons, we have taken all appropriate technical and organizational measures to ensure your data is secure for as long as we retain it. We have established policies and procedures for their protection, and all members of our team have received relevant training and are bound by clauses regarding the protection of personal data. Your data is stored on servers within the European Union, on terminals that follow the latest data security protocols, with controlled access and regular security checks.

6. Your Rights Regarding Your Personal Data

The GDPR grants you certain specific rights regarding your personal data, which we fully respect and will actively ensure you can freely exercise any and/or all of them. More specifically, you have the right:

  1. To always be informed about the reasons and purposes of the collection and processing of your data, the time limits for processing and storing your data, the processing principles, those involved in the collection and processing, as well as to request and receive any relevant information. If you are unsure that you clearly understand anything in this Notice, we recommend you contact us for clarification before submitting or otherwise sharing your personal data with us.
  2. To access the data we hold about you, i.e., to ask us to disclose what data we have about you, how and when we obtained it, and to receive a copy.
  3. To request us to rectify the data we hold about you, in case a piece of your personal data has changed while we retain it, so as to ensure that the data we hold about you is always accurate, up-to-date, and appropriate for the reasons/purposes for which you disclosed it to us.
  4. To request a copy of your data in a convenient/suitable format to be transmitted to third parties or used for other purposes (data portability).
  5. To ask us to erase your data (Right to be Forgotten).
  6. To object to further processing and to ask us to refrain from further processing your data.
  7. To withdraw your consent.
  8. To file a formal complaint: If you have any concerns regarding a possible interference with your privacy or misuse of your personal data on our part, you can contact us to file a complaint. We hope we can answer any questions you may have about how we process your personal data and resolve any issue that may arise. Therefore, we would like to invite you to contact us. However, if there are unresolved issues that concern you, you also have the right to file a complaint with the competent data protection authorities. The rights related to automated decision-making and profiling do not apply in this case.

7. Individuals Under 18 Years of Age

Although there is nothing on the website that could negatively affect children or young people, the website is primarily addressed to individuals aged over eighteen (18) years.

While we cannot prevent you from browsing the Website even if you are a minor, we would like to encourage you not to share your personal data with us if you are under 18 years of age. If at any point we become aware that we have collected data from an individual under 18 years of age, it will be immediately and permanently deleted securely.

8. Update or Modification of this Notice

We may need to change or modify the current Notice. Although we will provide you with notification in case of any substantial change, we recommend that you regularly visit this tab to be informed of any additions or changes.

This Notice was last changed in December 2025, replacing all previous versions.
